The Senior HR Advisor/HR Specialist provides essential administrative and operational support across all facets of the employee lifecycle, ensuring compliance with legal requirements and internal policies while collaborating closely with HR Business Partners, Employee Relations Managers, and HR Shared Services to deliver consistent and effective HR services.

  • HR Documentation: Prepare and manage employment-related documents (contracts, amendments, disciplinary letters) in line with legal and internal standards.
  • Employee Records: Maintain accurate and confidential employee data in HR systems, in collaboration with HR Shared Services (HRSS).
  • Onboarding & Offboarding: Coordinate local onboarding/offboarding tasks, including documentation and system access, complementing HRSS efforts.
  • HRBP & ER Support: Assist HR Business Partners and Employee Relations Managers with scheduling, reporting, and follow-up on HR initiatives and investigations.
  • Audit & Reporting: Help prepare documentation for audits, legal reviews, and internal reports.
  • Recruitment Coordination: Support interview scheduling, candidate communication, and recruitment tracking.
  • Training Logistics: Organize training sessions, manage attendance, feedback, and liaise with external providers and L&D teams.
  • HR Transactions: Process local HR actions (promotions, transfers, terminations) not handled by HRSS.
  • Compliance Monitoring: Support audits and ensure adherence to internal policies and labor laws.
  • Time & Payroll Support: Validate timekeeping data, resolve discrepancies, and coordinate with payroll teams for accurate submissions.
  • Performance Cycle Support: Send reminders, track completion, and assist with data preparation for reviews and talent planning.
  • Communication & Coordination: Act as a liaison between local and central HR, support HR events, and respond to employee queries.
  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent administrative experience in an HR environment or equivalent through experience.
  • 3–5 years of experience in an HR administrative or coordinator role, preferably in a multi-site or regional setting.
  • Strong understanding of HR processes, documentation standards, and data confidentiality.
  • Experience working with HRIS systems and document management tools
  • Fluent Polish and English
