Position Summary:
We are seeking a motivated Facilities Coordinator to join our facilities management team at Palace Tower. This role will report to the Senior Facilities Manager and provide an excellent opportunity for someone early in their facilities management career to gain hands-on experience in commercial property operations while supporting the day-to-day maintenance and operational excellence of our 51-storey office tower and heritage building.
Key Responsibilities:
- Perform administrative tasks related to facilities operations and compliance reporting
- Assist with daily building operations and coordinating repairs with relevant contractors across the tower and heritage building
- Coordinate and schedule preventive maintenance activities with vendors and contractors
- Conduct routine building inspections and document findings using established checklists and procedures
- Respond to tenant service requests and work orders in a timely manner
- Maintain accurate records of maintenance activities, inspections, and repairs
- Assist with emergency response procedures and after-hours building issues
- Support WH&S management activities including contractor safety compliance, incident management reporting, and site inductions
- Assist with risk assessment procedures and safety training coordination
- Help ensure compliance with building codes, safety regulations, and environmental standards
- Support energy management initiatives and sustainability programs

- Strong interpersonal and communication skills with ability to interact professionally with tenants, contractors, and team members
- Demonstrated eagerness to learn and develop new skills in facilities management
- Excellent organisational abilities and attention to detail
- Ability to prioritise tasks and work both independently and collaboratively within a team environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong problem-solving mindset with ability to think critically and seek solutions
- Willingness to learn and adapt to new software systems and technology platforms
- Positive attitude towards learning compliance requirements and safety procedures
What Would Set You Apart:
- Any experience in customer service or client-facing roles
- Trade background or technical education
- Previous exposure to maintenance, construction, or building-related work (including apprenticeships, internships, or part-time roles)
- Experience learning and using computer software or database systems
- Basic understanding and respect of workplace safety principles
- Demonstrated ability to follow detailed procedures and processes
- Experience working in team environments or coordinating with multiple stakeholders
- Interest in sustainability and environmental initiatives
- Strong attention to detail
