Rootly is looking for a part-time Office Administrative Assistant to keep our downtown Toronto office running smoothly and support our team as we grow. This role starts very small (1–2 hours per day, weekdays) with the potential to increase hours over time.
About The Role
- You must be able to work on-site in downtown Toronto for most of the shifts
- Available for 1–2 hours per day, Monday to Friday to start, with flexibility to have more hours when needed (definitely during our office move and busy periods)
- Highly organized and detail-oriented – you notice when things are out of place or running low
- Reliable, punctual, and comfortable working fairly independently with light oversight
- Strong communication skills and a straightforward, no-drama approach to getting things done
- Comfortable with basic tech tools (Google Workspace, Slack, etc.) and willing to learn simple IT tasks
What You'Ll Do
Day-to-day (starting scope – 1–2 hours/day):
- Restock office supplies, snacks, and kitchen items
- Keep cupboards, storage areas, and common spaces organized and tidy
- Receive, organize, and distribute deliveries
- Flag low stock and place simple re-orders as needed
- Organize office events, team socials, and happy hours
- Place lunch orders for the team
- Handle basic IT tasks (e.g., setting up monitors, wiping old laptops, simple troubleshooting, liaising with IT support when needed)
Early next year – office move support:
- Help coordinate logistics for our office move (scheduling movers, vendors, etc.)
- Assist with ordering and tracking new furniture and equipment
- Label, pack, and unpack office items
- Set up and organize the new office space (supplies, storage, shared areas)
Future / expanded responsibilities (as the role grows):
- Support booking travel for team members (flights, hotels, basic itineraries)
- Help organize internal documents and shared drives
- Potential to grow into People Operations support:
- Preparing onboarding materials and documents for new hires
- Helping with simple HR/admin tasks and employee experience projects
What You'Ll Need
- Prior experience in office administration, facilities, retail, or hospitality
- Experience planning events or coordinating logistics
- Demonstrated ability to prioritize tasks, meet deadlines, and adapt to changing priorities
- Ability to handle confidential information discreetly and responsibly
- Interest in People Operations / HR and growing into a broader role over time
