PURPOSE OF POSITION:
This position is an integral part of the sales and marketing department providing operational and administrative support by ensuring smooth execution of processes, logistics, data management, and cross-team alignment, enabling efficiency, consistency and impact. This individual requires strong organizational skills, effective communication, and the ability to manage multiple tasks and schedules efficiently.
KEY RESPONSIBILITY AREAS:
• Maintain and update broker distribution and contact lists.
• Organize and facilitate broker training sessions, coordinating both internal teams and external stakeholders.
• Manage broker setup and changes within internal systems to ensure accuracy and compliance.
• Oversee distribution of credit hours for broker training and development programs.
• Assist brokers with RRM University.
• Streamline workflows, processes, and reporting to improve efficiency across sales and marketing operations.
• Ensure timely and accurate tracking of deliverables and outcomes.
• Coordinate event schedules to proactively keep projects and deliverables on track.
• Support planning, logistics, and execution of marketing campaigns, industry trade shows, and broker events.
• Attend and actively participate in in-person training, conventions, and company-hosted events, providing coordination and support to ensure successful delivery and team alignment.
• Serve as the primary contact for coordinating gift baskets, broker gifts, and cards within the Business Development team.
• Assist with booking travel arrangements for team members.
• Ensure brokers have appropriate access to Broker Central and provide support as needed.
• Contribute to other administrative responsibilities and team support tasks as assigned.
PHYSICAL REQUIREMENTS:
• Extended periods of standing.
• Frequent periods of mobility throughout multiple floors of the office.
• Repetitive motion.
• Must be able to lift, push, pull and/or carry objects up to a maximum of 50lbs.
QUALIFICATION AND SKILLS:
• High School Diploma
• Post-secondary education in business or related field considered an asset
• 1-3 years related experience.
• Valid class 5 driver’s license
• Customer service oriented and results focused
• Excellent oral and written communication
• Excellent time management, planning and task prioritization ability.
• Strong analysis, critical thinking, judgement and problem-solving skills.
• Ability to work independently and as a team.
