  • Proactive Mindset: You are a strategic planner who anticipates client needs and caregiver gaps 24–48 hours in advance to prevent service interruptions.
  • High-Level Organization: You are a master of multitasking, expertly prioritizing urgent tasks to maintain 100% service coverage without losing focus on critical details.

Key Responsibilities: Orchestrating Exceptional Care

As our Scheduler, you are the Command Center of our operations you are the vital link ensuring consistent, high-quality care. 

  • Strategic Scheduling: Proactively manage the master calendar to ensure 100% service coverage. This includes filling open shifts, handling last-minute emergencies, and adjusting daily assignments in real-time. 
  • Expert  Caregiver-Client Matching: Assess client needs and caregiver profiles to create "perfect matches" based on skills, personality, and availability, ensuring long-term satisfaction. 
  • High-Volume Bilingual Communication: Serve as the primary English/Spanish liaison with clients, families, and caregivers via high-volume phone calls, emails, and SMS.
  • Administrative Precision & Documentation: Maintain meticulous, real-time records in G-Suite and Slack, including detailed call notes, shift documentation, and tracking missed clock-ins/outs.
  • Creative Conflict Resolution: Navigate scheduling friction points and unexpected scenarios with extreme patience, negotiating "win-win" solutions that maintain high-quality care standards.

What a Typical Day Looks Like (Phone and Computer Focused)

 In this role, you are the heartbeat of our daily operations. Your day will consist of: 

  • Real-Time Logistics: Reviewing daily schedules and problem-solving emergencies, no-shows, or call-offs to ensure every shift is filled.
  • Dynamic Communication: Coordinating with clients and caregivers via phone and SMS for shift updates, confirmation, and troubleshooting missed clock-ins/outs.
  • Proactive Staffing: Calling active and inactive caregivers to verify availability and maintaining a "ready" talent pool for upcoming needs.
  • Administrative Precision: Creating shifts, adding tasks, and documenting detailed call notes from discussions with teams, families, and care providers.
  • Relationship Management: Making check-in calls to family members and clients to ensure their needs are met and they are happy with our service.
  • Growth Support: Answering incoming and making outbound calls for new service inquiries to help more families receive care.
  • Forward Planning: Ending each day by organizing the next day’s appointments and tasks to prevent future scheduling conflicts.

Performance Metrics

  • Successful Matches: Maintaining a 95%+ quality match rate between caregivers and clients.
  • Response Time: Covering emergency shifts in less than 1 hour.
  • Satisfaction Rates: Maintaining 90%+ satisfaction for both clients and caregivers.
  • Efficiency: Keeping client cancellation rates at less than 3% per month.

  • Experience: 1 year of BPO experience (Customer Service or Sales) AND 1 year of scheduling or staffing experience.
