About The Role

We are seeking a highly organized and proactive Administrative Assistant to provide direct support to executives. The ideal candidate is detail-oriented, trustworthy, and able to manage multiple priorities while maintaining a very high level of confidentiality and discretion. This role requires excellent communication skills, strong follow-through, and the ability to retain and recall information effectively. 

What You'Ll Do

  • Manage and maintain executive calendars, including scheduling meetings and coordinating appointments. 
  • Support executives with day-to-day administrative tasks and ensure smooth communication flow. 
  • Book and coordinate travel arrangements (flights, hotels, transportation). 
  • Answer and screen phone calls; communicate professionally on behalf of executives. 
  • Maintain confidentiality and handle sensitive information with discretion. 
  • Stay organized and ensure timely follow-up on pending items. 
  • Proactively bring ideas and suggestions to improve processes and support the team. 

Qualifications

  • Previous experience supporting executives or in a similar administrative role is an asset. 
  • Strong organizational and time-management skills. 
  • Excellent verbal and written communication skills. 
  • Coachable, adaptable, and eager to learn. 
  • Ability to retain information and manage details accurately. 
  • High level of trustworthiness and professionalism. 
  • Comfortable working onsite in a fast-paced environment.
