Maintenance Contract Administrator

About The Role

NPS seeks a dedicated, and proactive Contract Administrator for our Maintenance Division to oversee multiple contracts. This dynamic role involves managing schedules for field employees in a fast-paced environment.

Your responsibilities will include maintaining project statuses efficiently and scheduling field staff effectively to optimise productivity. Additionally, you will be tasked with meticulous documentation control, overseeing the process from job creation and work order forms to project completion sign-off and handover to accounts.

Main Duties Include:

• Monitoring, controlling, and managing work orders and job requests.
• Daily management of schedules.
• Liaising with clients and plumbers to prioritise and schedule jobs.
• Establish and maintain processes and procedures for scheduling department in consultation with management.
• Ensure all employee and sub-contractor records are maintained accurately and in a timely manner.
• Data entry and reporting.
• Complete jobs-management and invoicing requirements.
• Assisting with the processing of quotations.
• Always ensure maximum office discretion and confidentiality.
• Must have the ability to negotiate and deal with difficult people at times.

Working within a busy team you will need to possess:

• Experience in a similar role performing similar duties is required in this role.
• Specific knowledge of scheduling processes required.
• Committed to providing exceptional customer service across all channels – written, phone and face to face.
• The ability to communicate clearly and concisely, varying communication style depending upon the audience.
• Excellent attention to detail and written skills when communicating with others, internally and externally.
• Ability to apply knowledge in a practical, commercial manner.
• Willingness to assist and support others as required and get on with team members.
• Accomplish objectives effectively within time frame given and carry out administrative duties within portfolio in an efficient and timely manner.
