What You’Ll Do
The Administrative Assistant will offer comprehensive administrative, managerial, and organizational support to two Vice Presidents and other senior leaders as needed. Additionally, they will provide essential administrative services to various teams. This role requires exceptional judgment and the ability to handle highly sensitive matters with utmost confidentiality. The ideal candidate will have a proven track record in an administrative capacity, excelling both independently and within a team. The Administrative Assistant is a self-starter who consistently meets deadlines autonomously. They must exhibit a high degree of flexibility and thrive in a fast-paced environment while ensuring accuracy and reliability in their work.
- Assist the Vice Presidents and Associate Vice Presidents to effectively manage workload and time
- Act as the key contact for clear communication and understanding of information with internal/external clients, while providing reliable and timely resolution to inquiries
- Screen all incoming mail, and handle/pass onto suitable personnel when required, prioritizing the remainder for the Vice President and Associate Vice Presidents
- Co-ordinate time, travel, meetings, material to ensure the Vice President and Associate Vice Presidents operate efficiently and effectively
- Co-ordinate and assemble presentation material for monthly Executive business reviews
- Assist the teams with planning meetings and arranging room bookings
- Manage the Vice President and Associate Vice President's calendars ensuring time is managed well
- Prepare and submit expenses for reimbursement
- Plan and co-ordinate team events for VPs as well as Dealer meetings (including food management)
- Prepare and submit electronically, payroll for the department
- Prepare various correspondence in a variety of formats including letters, presentations, reports and special projects
- Gather information/research assignments as required
- Manage the process of onboarding new team members within ServiceNow system, and within their designated space
- Assist and coordinate staff moves
- Provide technical support whenever needed by the team (i.e. - cell phone synchronization, computer equipment and phone equipment)
- Maintain filing system and master filing list for the purpose of ensuring easy access to all documents
- Back-up support to other departmental Administrative personnel as required
- Able to work overtime at peak times
- Other duties or special projects as required
What You Bring
- Minimum of 3+ years’ experience in an Administrative Assistant role supporting at the Director level; Experience supporting an event planning, marketing or communications team a definite plus.
- Technically savvy with advanced proficiency with Microsoft Office: PowerPoint, Outlook, Word, and Excel; strong presentation building skills a definite asset
- Strong initiative, positive energy and ability to exercise sound judgement and discretion.
- Well organized, able to prioritize and manage multiple tasks simultaneously.
- Proactive with the ability to recognize how to increase the effectiveness of the VP, without specific direction
- Thrives in a fast-paced, high energy, high volume changing work environment.
- Good sense of humour and able to “go with the flow” attitude.
