Job Description

  • Department: Preadmission Clinic
  • Reports to: Manager
  • Hours: 37.5 Hours per Week
  • Status: Permanent Full Time

Duties

The Administrative Coordinator exercises decision making capabilities, judgment and independence to coordinate complex administrative support for the Pre-Admission Clinic, including: 

  • Utilizing advanced functions to provide word processing/typing services to facilitate the production of complex documents/materials
  • Analyzing departmental workload statistics, identifying and bringing critical areas to the attention of the Manager
  • Coordinating, organizing or planning meetings/events
  • Monitoring and analyzing departmental budgets
  • Ensuring efficient operation of the office
  • Performing clerical support functions including generation of agendas and minutes.

Qualifications

  • Completion of a Grade XII or recognized equivalent
  • Completion of a recognized medical or business post secondary program at the certificate level
  • Five (5) years related administrative support experience
  • Experience working in a health care environment an asset
  • Ability to maintain confidentiality
  • Previous working experience with workflow, coordination of information, and EPIC is an asset
  • Demonstrated commitment to the delivery of excellent customer service
  • Excellent interpersonal and patient/customer service skills; sensitivity to patients and families, fears and anxieties – ability to use good judgement in assessing and/or responding to difficult situations
  • Excellent organizational and time management skills
  • Ability to produce detail-oriented, accurate work – ability to establish, maintain, and adhere to priorities – statistical data, tracking of metrics as required
  • Knowledge of Medical terminology required
  • Excellent verbal and written communication skills
  • Demonstrated ability to function as a productive team member

To be considered for this role, you must have significant experience in managing time and tasks within an extremely busy professional office and clinical environment, and have the ability to focus on the priorities of a rapidly changing day. You have excellent MS Office applications skills, especially Outlook, and Word, Excel; superb organizational and time management skills and the ability to multitask effectively.

The successful incumbent will show initiative and work well with a wide range of people throughout the organization. They will also be insightful, mature and tactful, remain calm under pressure and confident in their capability to perform well in the job and make it their own.
