Brief Job Overview

This is a non-supervisory position that ensures the continuity of meetings and activities of, and relationships with, USP’s Council of Experts’ (CoE), Expert Committees and related groups. Activities include compendial projects that support program units, expert volunteers, and the development and revision of USP’s standards.

The Expert Committee Manager has the following responsibilities:

  • Manages Expert Committees and their related groups (Expert Panels, Subcommittees, Collaborative Groups, etc.) by developing agendas, disseminating briefing material, tracking action items, taking notes, and meeting outputs (including tracking action items and logging meeting progression).
  • Effectively communicates with program unit leads and works cross-functionally to manage and coordinate program-specific projects.
  • Coordinates cross-functional support of meetings for Expert Body Meetings held on-site at USP’s Meeting Center or outside and serves as the representative of USP.
  • Contributes to Expert Committee Operations projects including process improvements, identifying system gaps and opportunities, and implementing tactics.
  • Coordinates documentary and reference standards to new or revised standards from development through ballot preparation cross-functionally within USP. As needed, assists preparation of summaries of USP’s decisions (commentaries) as USP’s official response in collaboration with appropriate staff as
  • Contributes to Compendial Operations teams that are integral to the USP standard-setting mission and benefit the USP organization through Call for Candidates or expert volunteer recruitment, CoE meetings, and Stakeholder interactions.
  • Responsible for completing essential recurring tasks that support all ECM team members and ensure smooth daily operations e.g., Polling and scheduling, assisting with observer request etc., for Expert committee meetings
  • Support the planning, implementation, and tracking of specific short- and long-term projects within the organization.
  • This role is critical for ensuring that projects are executed on time, and within scope.
  • Work closely with cross-functional teams to facilitate smooth communication, document management, and project logistics.
  • Support initiatives/ projects in line with expectations
  • Assist in coordination of project scope, objectives, and deliverables in collaboration with stakeholders.
  • Support in developing project plans, including follow up on timelines, as well as assigned tasks. Coordinate scheduling and logistics for project meetings and review sessions
  • Maintain organized and accessible project documentation, including project plans, timelines, reports, and meeting notes.
  • Track project progress and update stakeholders on timelines, key deliverables, and potential risks.
  • Compile reports and presentations for stakeholders to communicate project status
  • Act as the main point of contact for team members, ensuring clear and consistent communication across all levels.
  • Facilitate team meetings, provide agendas, and summarize action items and next steps.
  • Collaborate with stakeholders to gather information, clarify tasks, and ensure all project requirements are understood.
  • Populating data and information in software, such as creating contacts in Apheleia or Salesforce

Who is USP Looking For?

The successful candidate will have a demonstrated understanding of our mission, commitment to excellence through inclusive and equitable behaviors and practices, ability to quickly build credibility with stakeholders, along with the following competencies and experience.

Experience Required:

  • Master’s degree in a science-based discipline or relevant field with MBA degree preferred.
  • 7+ years of relevant experience, preferred to have a science based industry or healthcare environment, managing multiple, complex programs background. An equivalent combination of education and experience may substitute.
  • Advanced computer competence (MS Office programs, MS Teams, MS Project, MS Access, Co-pilot,Word, Excel, powerpoint etc) with virtual presentation skills.

Additional Desired Preferences

  • Certified Project Management Professional (PMP)-PMI PMP or other project management certifications
  • Excellent project planning and project management skills.
  • Ability and desire to work well with a diverse group of employees and customers in a cooperative and friendly manner.
  • Excellent verbal and written communication skills.
  • Excellent critical thinking and problem-solving skills.
  • The ability to draft and edit meeting minutes.
  • The ability to influence without direct authority.
  • Excellent facilitation, conflict resolution, and team building skills in the management of cross-functional teams.
  • Ability to handle multiple priorities in a fast-paced environment and recognize issues potentially requiring upper management awareness and input.
  • Advanced computer competence (MS Office programs, MS Teams, MS Project, MS Access, Co-pilot, etc).
  • Ability to build effective relationships and work collbaorativelty in a global setting with both external and internal stakeholders.
