What you'll do
Office Operations & Facility Management
Oversee daily office operations, ensuring efficiency and smooth workflows.
Manage office supplies, equipment, maintaining high standards of organization.
Coordinate with vendors and service providers, negotiating contracts and ensuring timely, quality service delivery.
Compliance, Finance & Documentation
Ensure adherence to regulatory and company policies, supporting audits with necessary documentation.
Manage invoices in coordination with the finance team, ensuring accuracy and timely processing.
Prepare and process company documents such as references, orders, and other required paperwork.
Business Travel & Communication Management
Arrange business travel, including transport, accommodations, and logistics.
Handle all company correspondence, ensuring timely responses, record-keeping, and secure communication across departments.
Document & Record Management
Maintain a comprehensive document management system, ensuring compliance with legal and company policies.
Translate company and personal documents between Latvian and English as needed.
Vendor & Service Coordination
Build and maintain strong relationships with vendors and service providers, ensuring quality and reliability.
Engagement & Additional Responsibilities
Organize employee well-being programs and company outings to foster a positive work environment.
Handle employee onboarding and offboarding for smooth transitions. Perform other duties as assigned by management.
Willingness to learn in the field of Human Resources.
What you'll bring
At least 1-3 years of proven experience in Office Administration or a similar role.
Higher education in Business Administration, Human Resources, Office Management, or a related field.
Ability to prioritize tasks and contribute to defining the team's goals and objectives.
Very good time management skills and ability to multi-task and tasks prioritization.
Strong communication skills and cooperation skills with team and colleagues, partners, business partners.
Strong analytical and problem-solving skills, with an ability to interpret complex transactional data.
Good understanding of the rules of record-keeping and how document management processes work.
Professional English language skills (any additional foreign language is an advantage).
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Drive (Docs, Sheets, Slides).
Effective communication marked by simplicity and creativity, strong attention to detail, adaptability in fast-changing environments, and a proactive, self-sufficient mindset.
