WHAT YOU WILL DO:
The Program Manager / Lead – Surge & Travel Team is a critical leadership role responsible for directing the strategic planning, operational execution, and financial tracking of our mobile surge and field travel operations. This role bridges high-level organizational strategy with ground-level execution, overseeing comprehensive travel coordination, managing preferred provider relationships, and ensuring rigorous data analytics and reporting.
- Additionally, the Lead serves as a direct mentor and strategic guide to field leadership, optimizing resource allocation during peak periods and driving continuous process improvements across the organization.
Key Responsibilities
Operations & System Management
- Peak Period Planning: Lead the team in forecasting, planning, and executing deployment strategies for peak surge periods and large-scale group events.
- Policy Enforcement & Compliance: Ensure all travel arrangements—including complex itineraries, flights, accommodations, and per diems (updated quarterly)—comply with company policies, budget guidelines, and regulatory requirements. Escalate exceptions when appropriate.
- Process Optimization: Develop and implement advanced tools and protocols to efficiently manage visas, protocol letters, airport transfers, and itinerary optimizations (e.g., ticket class efficiencies) that benefit both the organization and the traveler.
- Crisis Management: Establish and oversee rapid-response protocols to handle travel-related emergencies, sudden itinerary changes, and complex logistical escalations calmly and efficiently.
Team Management, Guidance & Capacity Building
- Field Leadership Support: Provide ongoing guidance, support, and strategic direction to field leadership and travel planners to ensure alignment with organizational goals.
- Resource Allocation: Monitor operational trends and field capacity to adjust staffing levels, formulate efficient workload distribution, and handle performance management for the team.
- Training & Upskilling: Train, mentor, and oversee staff to ensure maximum operational effectiveness. Develop, test, and implement training programs for upgrades to current travel software and system solutions.
- Internal Outreach: Create and execute an internal outreach plan to collaborate with various divisions, harmonizing processes and improving the overall travel experience for internal stakeholders.
Metrics, Tracking & Reporting
- Data Integrity: Oversee and audit team filing and record-keeping systems to ensure 100% accuracy for financial and compliance tracking.
- Strategic Reporting: Produce and present data-driven insights to various leadership levels:
- Monthly: Performance and operational reports for the Senior Leadership Team.
- Quarterly: Divisional travel plans and budget variance reports for Divisional Directors.
- Annually: Comprehensive travel analytics and risk assessments for the Audit and Risk Committee.
Key Requirements
Experience & Technical Expertise
- Industry Experience: Minimum 4 years of data center operations experience, with track record of managing projects, KPI’s, SLAs, and travel activities.
- Leadership Experience: Minimum of 2 years of direct supervisory experience, with a proven track record of managing, developing, and building capacity within a team.
- Global Logistics: Extensive knowledge of corporate travel management.
- Technical Proficiency: Hands-on experience with travel booking systems, corporate travel management platforms, project and resource planning.
Skills & Competencies
- Communication: Strong communication skills to interface with everyone from field staff to executive committees.
- Analytical Thinking: Strong capability to develop metrics, monitor divisional travel plans, and translate raw travel data into actionable leadership reports.
- Cultural Intelligence: Ability to establish and maintain effective, respectful relationships with stakeholders from diverse cultural backgrounds.
- Crisis Resilience: Proven ability to handle travel emergencies and unexpected logistical challenges outside of regular business hours when necessary.
