Portfolio Manager - Condominium, HOA & Cooperative Communities

About the Role
We're looking for an experienced Portfolio Manager to oversee the day-to-day administrative, financial, and operational management of a portfolio of condominium, HOA, and cooperative communities. You'll serve as the primary point of contact for multiple Boards of Directors, driving strong financial stewardship, proactive property maintenance, and excellent service for residents.
What You'll Do
Board & Financial Management
- Own full management responsibility for an assigned portfolio of associations, acting as the primary liaison to each Board of Directors.
- Prepare and present monthly management reports covering site inspections, maintenance progress, covenant violations, insurance status, and security incidents.
- Draft the annual budget for Board review and approval, and read/interpret financial reports with confidence.
- Obtain competitive bids for association contracts and guide Boards through vendor selection.
- Ensure community rules and governing documents are consistently enforced.
Property & Vendor Oversight
- Conduct weekly property inspections and monthly reviews of preventative maintenance logs to ensure schedule compliance.
- Manage contractor relationships end-to-end — insurance certificates, bonds, warranties, lien releases, and workmanship quality.
- Negotiate service contracts and maintain a calendar of expirations and upcoming bidding milestones.
- Advise Boards on energy management options and capital expenditure planning.
- Build and maintain preventive maintenance programs for mechanical, plumbing, electrical, and HVAC systems.
- Process incident, accident, and insurance claims, and coordinate on potential litigation as directed by the Board.
- Attend Board meetings as required by each management contract and deliver quarterly common-element inspection reports.
What You'll Bring
- 3+ years of experience managing condominiums, HOAs, or cooperatives.
- Bachelor's degree preferred.
- Strong working knowledge of financial reporting and budgeting.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent organizational, project management, and analytical skills, with the ability to juggle multiple priorities daily.
- A customer-service mindset and working knowledge of building systems and structures.
- Strong communication skills across all levels of an organization, board members and residents included.
- Comfort leading a team and resolving conflict diplomatically.
- Reliable personal transportation, a valid driver's license, and proof of insurance (mileage reimbursement provided).
